Buyer portal: a private page for every buyer's unit and payments
The buyer portal is an Enterprise module that gives each buyer a private page behind a single link, where they see their unit, payment schedule and construction updates and book a handover slot. Your staff records payments by hand; the portal collects no money. It needs the Projects and Inventory modules and is a monthly add-on you choose at contracting.
What is it?
After a sale you create a portal from a sold unit in the inventory grid, or from a reservation whose deposit was paid, then copy the link and send it to the buyer. The owner, a team lead or the finance role adds the payment schedule from a template or by hand, posts construction updates with photos and a progress figure, and opens handover slots. The buyer opens the link on their phone, with no password, and sees everything that concerns them, so fewer repeat calls reach your office.

How it works, step by step
- Create the project and its unit grid, then mark a unit as sold, or open a reservation whose deposit gets paid on the Reservations page.
- Create the buyer portal from that unit. The private link appears once: copy it and send it to the buyer.
- Open the buyer's page and build the payment schedule from one of three templates using the contract total and the first payment date, then edit any row, add a payment or delete one.
- Press Record payment when the transfer arrives, adding the transfer or receipt reference, and the instalment turns to paid on the buyer's page.
- Post a construction update with a title, text, up to 10 photos and a progress figure from 0 to 100, then press Notify buyers to send a WhatsApp template.
- In the Handover slots tab open slots for the project by setting the day, the two times, the interval and the capacity.
- The buyer picks a slot from their page, and your staff sees it on the buyer's page and in the slots tab.
- Watch the overdue badge and last-visit date for each buyer, and press Remind about due payments to notify those whose instalment is overdue or falls due within 14 days.
What is included
- A /buyer/ page behind a personal link, showing the unit details: project, number, model, location, area, rooms, price and expected delivery.
- The payment schedule with paid, remaining and total, the next instalment, and due, paid and overdue statuses on Riyadh dates.
- Three schedule templates: deposit, three construction payments and a handover payment; deposit and the balance at transfer; or deposit and nine quarterly payments. All are editable.
- Construction updates with photos and a progress figure, plus the project's documents (brochure, plans, payment plan).
- Handover booking from the buyer's page, and a WhatsApp contact button when the office number is connected.
- Link rotation and revocation, with an audit entry for every action.
- The finance role covers all of this across the office, except sending notices.
Limits and fair use
- The portal collects no money and takes no transfers: your staff records each payment by hand, and the buyer sees only what has been recorded.
- The link is the only credential for a buyer's page, so it is not to be shared. A new link stops the old one immediately; revoking is permanent and cancels the buyer's handover booking.
- Creating links, schedules, updates and slots belongs to the owner, a team lead or the finance role, not to other staff.
- A schedule holds at most 120 instalments, an update 4,000 characters and 10 photos, and one handover slot at most 200 buyers.
- A handover slot cannot be booked or changed within 24 hours of its start; the buyer then contacts the office.
- Notices go out as a WhatsApp template with no name, amount or personal link, and reach only buyers whose number belongs to an active lead who has not opted out.
- The module signs no contracts and does not replace your finance team's review of the payment record.

Frequently asked questions
- Does the buyer need an account or a password?
- No. The buyer opens their personal link on any phone and their page appears at once. That is why they must not share it, and you can issue a new link any time if you suspect a leak.
- Can the buyer pay from the page?
- No, the page is read-only. The buyer transfers by the method agreed with you, and your staff records the payment with its reference, which turns the instalment to paid.
- How does an instalment become overdue?
- The page judges each instalment on the Riyadh date: once its due date has passed without a recorded payment, it becomes overdue. The buyer and your staff see the same status, so the figures never disagree.
- What does the buyer see besides their own unit?
- They see their payment schedule, their project's updates and documents, and the places left in each handover slot. No other buyer's name, unit or payments ever reach the page.
- What happens when a link is revoked?
- The link stops for good and cannot be reactivated, and the buyer's handover booking is cancelled. To give the unit a new portal, create another one from the same unit.
- Do I need other modules to run the portal?
- Yes. It needs Projects & brochures and Unit inventory, because the buyer owns a unit from the price list. If either is off, the portal stays disabled.
