Hold a unit and take the deposit: a timed hold and a deposit link for your buyer
Unit holds and deposits is an EvaCore module that holds a unit for a buyer for 1 to 720 hours and sends a Moyasar deposit link or bank-transfer details. It records deposit status but never receives the money, and frees the unit if no deposit arrives. It includes the finance role and is an Enterprise module priced by our team.
What is it?
From the unit grid on a project page, the salesperson picks an available unit and presses Hold for a client; the unit turns reserved immediately and Eva stops offering it. The hold gets a deadline and a reference number, and a ready-to-send message with the deposit and payment link is prepared for the buyer. Management follows every hold on the Holds page.
Who is it for?
- An office selling off-plan units that needs to lock a unit for a buyer who agreed to it while the deposit arrives.
- A sales manager who wants every hold, its deadline and the deposits received on one screen.
- An accountant or finance staff member who confirms deposits without seeing the lead list or conversations.
- An owner who has a Moyasar account or prefers bank transfer and wants either one tied to the hold.
What problem does it solve?
- A verbal promise to keep a unit for one buyer leaves it on offer to another.
- A hold that is never released after its deadline keeps a unit locked with no buyer.
- A deposit arriving by transfer and the accountant not knowing which unit it belongs to.
- A salesperson extending the deadline or lowering the deposit on a personal decision.
How it works, step by step
- The owner sets Hold and payment settings: the default hold length (default 48 hours, from 1 to 720), the default deposit, and the payment method: a Moyasar payment link or a bank transfer the staff confirm.
- For bank transfer, the owner types the account details to be sent as written. For Moyasar, the owner pastes the secret key from the office's own account and a secret webhook token of at least 16 characters.
- The salesperson opens the project, then Unit inventory, clicks an available unit and Hold for a client, and picks one of their leads or adds a new buyer with a name and mobile number.
- They set the length, deposit and notes, and hold. The unit turns reserved at once, a reference appears as R- followed by eight characters, and a Moyasar link for the deposit amount is created if that is the method.
- The salesperson sends the message from Send to client on WhatsApp, or copies it or the link alone. Sending works within 24 hours of the buyer's last message.
- With Moyasar the deposit is confirmed automatically; with a transfer, the owner, a team lead or finance presses Deposit received and enters the transfer reference. The status becomes deposit paid.
- A manager converts the hold to a sale, so the unit becomes sold, or extends the deadline, or releases the hold so the unit returns to available. If the deadline passes with no deposit, the system releases it within minutes.
What is included
- A Holds page filtered by status and project, with counters: awaiting deposit, expiring within 6 hours, deposit paid, and total deposits received.
- Six hold statuses: held awaiting deposit, deposit paid, sold, released, expired, cancelled.
- A Moyasar payment link from your own account with the invoice verified before payment is recorded, or transfer details and a reference number.
- Automatic release of expired holds, running every five minutes.
- The finance role: sees every hold in the office and confirms deposits, extends, converts and releases.
- An audit trail for hold actions, and a Check payment button when confirmation is late.
Limits and fair use
- The module records the deposit status and does not receive the money. The amount reaches your office's own Moyasar or bank account, and refunding a buyer's deposit happens outside the system.
- A member holds within the owner's settings: no longer than the default hold length and no lower than the default deposit. Going past either is for the owner or a team lead.
- Extending the deadline, confirming a deposit, converting to a sale and cancelling a paid hold are for the owner, a team lead or finance. Releasing an unpaid hold is for whoever created it or one of those.
- Finance cannot hold a unit, search leads or message them on WhatsApp; it copies the payment message and sends it itself.
- A Moyasar test key is not accepted in production, and the key cannot be changed or removed while holds with open payment links exist.
- The message goes as an ordinary message inside the 24-hour window with no template; after that you copy the text and send it yourself. The module needs Projects and Inventory both switched on.

What others bill you
- Any Moyasar fees are governed by your office's agreement with Moyasar and sit on its account. EvaCore does not receive the amount or take a share of it.
- The deposit message on WhatsApp goes inside the 24-hour window as an ordinary message without a template, so no template fee arises from it.

Frequently asked questions
- Does the deposit money pass through EvaCore?
- No, the money never passes through EvaCore. The payment link is created from your office's own Moyasar account with its secret key, or the buyer transfers to your bank account quoting the reference, and the module records only the deposit status: awaiting or paid, with the time received and the reference.
- What happens when the hold deadline passes with no deposit?
- The hold becomes expired, the unit returns to available and Eva offers it again, all within minutes. Before releasing, the system asks Moyasar whether the invoice was paid, so a unit does not lose a deposit that landed seconds earlier.
- How does the system know a Moyasar deposit was really paid?
- It does not trust what a webhook request says. It fetches the invoice again from Moyasar using the identifier it stored and your office's key, checks that it is paid and that the amount, currency, hold and office all match, then records deposit paid. If confirmation is late you press Check payment.
- What can a finance user do?
- A finance user sees every hold in the office and can confirm deposits, extend the deadline, convert a hold to a sale and release it, and copy the payment message to send. They cannot hold a unit, search leads or message buyers on WhatsApp, so they stay clear of the lead list and conversations.
- Can a salesperson give a buyer a long hold on a token deposit?
- Not unless they are the owner or a team lead. The owner sets the default hold length and default deposit, and an ordinary member cannot exceed the length or lower the deposit. The longest possible hold is 720 hours and the shortest is one hour.
- What happens to the unit's status in the price list?
- The unit follows the hold: reserved when held, available again on release or expiry, sold on conversion to a sale. While a hold is live, you cannot change it by hand and a new price-list upload does not change it either.
