Unit inventory: every unit with its price and status

Unit inventory is an EvaCore module that holds your project's price list unit by unit with a status of available, reserved or sold, so Eva offers buyers only available units at their recorded price. You upload the list from Excel or CSV, up to 5,000 units per file. It is an Enterprise module, priced by our team in your quote.

What is it?

Inside each project you get a grid of its units grouped by building or model, with counters for available, reserved and sold. You import the list as the developer sends it, the system matches its columns in Arabic and English, and you review a preview before saving. Eva builds her answers about availability and price from this grid alone.

Who is it for?

  • An office selling a project with dozens or hundreds of units whose status changes every day.
  • A sales manager who wants Eva to stop offering a unit the moment it is reserved or sold.
  • A team that receives the developer's price list in Excel with varying headings and sometimes a logo above the table.
  • An office that needs to know how many units of each model are available and in what price band.

What problem does it solve?

  • An old price list in WhatsApp leads staff to offer a unit that sold yesterday.
  • A price quoted from memory differs from the price in the official file.
  • A status updated in a separate spreadsheet never reaches whoever answers the buyer.
  • Re-uploading a fresh list can put a sold unit back on sale if nothing guards against it.

How it works, step by step

  1. Switch on Projects, open a project and you will find the Unit inventory section; download the CSV template if you want a ready-made layout.
  2. Press Upload price list and choose the Excel or CSV file as the developer sent it, up to 10 MB and 5,000 units per file.
  3. Pick the sheet if the file has several, and check which row was taken as the heading row; the system looks for it within the first 20 rows even with a logo above.
  4. Review the column mapping: unit number, model, building, floor, area, built-up area, bedrooms, bathrooms, price, status and notes. Unit number is required because it is the key each unit is saved under.
  5. Read the preview: how many units are new, how many are updates, and how many rows have errors and will not be imported, with the reason for each, then press Confirm save.
  6. Click any unit in the grid to change its status between available, reserved and sold, or to change its price if you are the owner or a team lead.
  7. Leave the rest to Eva: as soon as a status changes she offers available units only, and says "price on request" for a unit with no price.

What is included

  • Import from Excel (xlsx and xls) and CSV, recognising Arabic and English headings.
  • Save by update: an existing unit with the same number is updated, new ones are added, unchanged ones are left alone.
  • A unit grid grouped by building or model, with search by unit number and filters by status and model.
  • Numbers read in Arabic or Latin digits, and status words such as "vacant" or "sold out" mapped to the three statuses.
  • An audit record for every edit or deletion on a unit.
  • An availability summary Eva gives by model: how many are available and their price band.

Limits and fair use

  • A single file is limited to 10 MB and 5,000 units. A larger file is rejected with a message giving the count.
  • A row with an error, such as an unclear price or an unknown status, is not imported and appears in the error list without stopping the other rows.
  • Re-uploading a list with no status column changes no existing unit's status. A unit held or sold through a reservation record or a commission keeps its status even if the file says available.
  • Any member can change a unit's status, but taking it out of sold, changing its price, deleting it and clearing a project's units are for the owner or a team lead.
  • A unit with a live hold or a recorded sale cannot be deleted from the list.
  • Eva shows up to 12 models in the availability summary and ten sample units, so she asks the buyer to narrow down when there are many models. The module also needs Projects switched on first.

Frequently asked questions

What does Eva say when a unit has no price?
She says "price on request" and does not guess a figure. An empty cell, or wording such as "on request" or "TBA" in your file, is read as no price; the unit stays available without a price and the availability summary notes its price is on request.
Can I upload the file exactly as the developer sends it?
Usually yes. The system recognises column names in Arabic and English, looks for the heading row within the first 20 rows, and skips a logo or title above the table. You still review the column mapping and the preview before anything is saved.
Does a fresh list put a sold unit back on sale?
No. If the file has no status column, existing units keep their statuses and new units are added as available. A unit with an active hold or a recorded sale keeps its status even if the file says available beside it.
Who can change a unit's status and price?
Any team member can move a unit between available, reserved and sold, because salespeople hold and release units. Taking a unit out of sold, changing a price, and deleting one unit or all of a project's units are for the owner or a team lead only.
What details are stored for each unit?
Eleven fields are stored per unit: unit number, model, building, floor, area, built-up area, bedrooms, bathrooms, price, status and notes. A column you leave unmapped does not change the current value on existing units.
Does the brochure affect a unit's data?
No, a unit's price, area, floor and bedrooms come from this list alone. Eva reads the brochure for general description, amenities and booking terms and ignores any unit figure in it, because automatic brochure reading can get numbers wrong without showing it.
