Real estate CRM for Saudi offices and developers: what to require

A real estate CRM in Saudi Arabia should bring Aqar, Bayut and WhatsApp leads into one pipeline, give every customer an owner and a follow-up timer, store listings with their licence number, and work in Arabic. EvaCore does this with AI replies, Isnad between agents in one office and a Deal File. It has no Ejar, no Nafath and no native app.

What a Saudi real estate CRM has to cover

A generic CRM stores names, numbers and stages. A Saudi brokerage needs more: a customer who arrives from a portal and then moves to WhatsApp, a listing that carries a licence number, two agents who may both claim the same customer, and a deal that passes through valuation, financing and transfer. If the system does not model those situations, the team ends up with a spreadsheet nobody updates.

Start from the place where customers are lost today. An unanswered message, a customer two agents both think is theirs, or a financing file nobody holds. Pick the tool that fixes that spot, not the one with the longest feature list.

Lead intake from the real sources

Many Saudi property leads come from Aqar, Bayut, WhatsApp and the office website. EvaCore takes these sources, plus public chat and CSV files, into a single pipeline, so each customer keeps its source without retyping. You can also import old customer lists, with duplicate detection and merging.

  • Aqar, Bayut, website, public chat and CSV files in one pipeline.
  • Import office listings from an Aqar link, with photos and the licence number where available.
  • Leads are never capped; only AI conversations are limited by plan.

Listings and licence fields

A customer asks about a specific flat, not about property in general. The system therefore stores sale or rent, type, size, rooms, location, photos, status and the licence number when it comes from Aqar. Marking a listing sold stops Eva and the public pages from offering it straight away. Advertising licence rules change, so check the current text with the Real Estate General Authority (REGA) before relying on any field. EvaCore does not issue or verify licences with REGA; it stores the number your office enters.

WhatsApp in Arabic, replies within seconds

Much of the follow-up happens on WhatsApp, so the chat must live inside the customer file, not in a separate app. In EvaCore the office connects its number and staff numbers, decides who sees and joins each line, and Eva replies in Saudi Arabic and English within seconds, using the office's own data. See Eva on WhatsApp and, for how the team shares conversations, the shared team inbox.

Pipeline, routing and ownership timers

After intake you need a clear pipeline: stages, qualification scores, interests, custom fields and a timeline that joins chats, calls and deals. Then the ownership question: who owns this customer now? Configurable lead routing lets you set rules and run a trial before applying them. Agents can claim or decline a customer, and timers reroute dormant leads instead of leaving them with someone who is not following up.

  • Stages, scores, custom fields and saved views.
  • Today view: opportunities, appointments and overdue work on one screen.
  • Response-time timers and contact-attempt history.
  • Teams, regions and leaders, with metrics per team and agent.

Isnad: sharing a customer between agents in one office

When a colleague holds a customer who fits your listing, conflict follows. Isnad handles it inside one office. You send a request with a note. If the holder accepts, the customer becomes shared, you are added as co-agent, and the commission splits 60/40 by default, with the holder keeping 60; the office sets its own policy. If the holder declines or does not answer within 24 hours, a retention window starts (three days by default, set by the office between one and seven). If the holder has not won the deal by then, the customer moves to the requester. Won deals never move, and every step stays in the request history. Cross-office sharing goes through the broker portal, available on request. Details: co-brokerage between agents.

Deal File, financing and reports

Once a customer is ready, the office opens one active Deal File per purchase: stage, holder, responsible agent, a saved snapshot of the property, expected dates for approval, valuation, transfer and handover with a change history, and stuck-file alerts. A financing package, sent with the customer's consent to a named bank officer through a free portal, is part of it. Read Deal File and bank financing. Reports cover sources, response, conversion and team activity, with export.

Pricing and what is not included

Solo is for an individual agent, Agency is for an office with a team, and extra users can be added. Plans and prices are shown inside the app after you sign up. Enterprise is an annual quote. The CRM product page lists what is inside.

  • No Ejar integration, no Nafath, no link to the real-estate registry.
  • No native mobile app; the screens are responsive web.
  • No REGA licence issuance, and no escrow or payment gateway of its own.

Before you begin

  • No Ejar integration, no Nafath and no real-estate registry link; EvaCore does not issue REGA licences.
  • No native mobile app; the screens are responsive web.
  • Isnad works inside one office only; cross-office cooperation uses the broker portal, available on request.
  • Developer modules (projects, units, reservations) are available on request under Enterprise, not in Solo or Agency.

Frequently asked questions

Do I need a real estate CRM, or is a generic CRM enough?

A generic CRM works for a few customers. If you hold licensed listings, receive leads from Aqar and WhatsApp, and have several agents on the same customer, you need a system that understands listings, licences and ownership. Test any vendor with your own scenarios.

Does EvaCore work with Aqar and Bayut?

Yes, both are supported lead sources, and listings can be imported from an Aqar link with photos and the licence number where available. See the properties page.

Can the system reply on WhatsApp instead of an agent?

Yes. Eva replies within seconds in Saudi Arabic or English from your own data, and replies can be paused or handed to an agent per conversation. The office stays in control.

Does Isnad work between two offices?

No. Isnad works between agents inside one office. Cooperation between offices goes through the broker portal, available on request.

Is there a limit on the number of leads?

No. Leads are never capped; only AI conversations are limited by plan. See pricing.
