Broker portal: a link for each brokerage to register clients and track commission
The broker portal is an EvaCore module that gives each brokerage a private link where it registers clients, protected in its name for a window you set from one to 365 days, sees available units and tracks its commission. The portal records commission and does not pay it. It is an Enterprise module priced by our team.
What is it?
You add a brokerage with its commission rate and Fal licence number, and its link is shown to you once to send on. The office opens the link with no password and registers the client's name and mobile; the client reaches your sales team straight away as a new lead with source Broker portal. When a sale closes, you record the deal and the commission is calculated.
Who is it for?
- A developer or marketing office selling through several brokerages that wants to know who brought each client.
- A sales manager who wants to block a broker registering a client the office already has, and block the same client being registered by two offices.
- An owner who wants brokers to see available units only, with no stale prices and no internal notes.
- An accountant tracking due and paid commissions for each brokerage in one place.
What problem does it solve?
- A dispute over who brought the client first when more than one office claims them.
- A broker registering a client who is already yours, earning a commission they do not deserve.
- Availability lists sent to brokers over WhatsApp that go stale quickly.
- Commissions worked out by hand in spreadsheets, with the broker unsure when they fall due.
How it works, step by step
- Open Broker portal in the dashboard, available to the owner or a team lead, and set in Settings, which are the owner's alone, the protection window (default 90 days, from 1 to 365) and whether a registration needs your approval before protection starts.
- Press Add office and enter the office name, commission rate, Fal licence number, contact name, mobile and email. Only the owner sets the commission rate.
- Copy the office link, which appears once, or send it over WhatsApp. Its text is not kept on your side, and you can issue a new link, which stops the old one at once.
- The office opens the link and registers a client: name, a Saudi mobile starting 05 and an optional project, and confirms the client agreed to be contacted.
- The office sees the result: protected until a date, awaiting approval, or "client already registered". It can follow its registrations and the protection time left.
- On the Registrations tab you approve a waiting registration or refuse it with a reason the office will read, open the client in your system, and the owner can withdraw a protection granted by mistake.
- When a sale closes, press Record sale on the protected registration, choose the unit from inventory or describe it, and enter the sale price; the commission is calculated at the office's rate and a unit chosen from inventory becomes sold.
- The owner presses Paid on the commission after transferring the amount to the office outside the system, and it shows as paid to the office.
What is included
- A private office page at the /partner/ link with a secret token, with tabs: Register client, My registrations, My commissions, Available units.
- Five registration statuses: awaiting approval, protected, refused, sold, protection expired.
- A neutral refusal: one message to the office, "client already registered", whether the person is your client or protected to another office, while you can see the real reason.
- An available-units list of up to 2,000 units grouped by project, without unit notes.
- Commission calculated to the halala from the sale price and the office's rate at the time of sale, with due and paid statuses.
- A note on the lead card showing which office registered the client and who tried afterwards.
Limits and fair use
- The link is the office's only credential and its text is not kept on your side, so whoever holds it can get in. Issue a new link if it spreads, or suspend the office, which stops the link while its registrations and commissions stay.
- The portal does not pay commission or move money; it records due and paid as the owner confirms, and recording or undoing payment is for the owner only.
- Changing an office's rate applies to future sales only, and every recorded commission keeps its rate. A team lead cannot change the rate.
- Protection ends automatically when the window passes with no sale, and changing the window does not lengthen or shorten a protection that has already started.
- A sold unit or one carrying a commission cannot be sold twice, and a unit held for another buyer cannot be sold. The available-units list shows to the office only if inventory is switched on.
- The client's mobile must be a Saudi mobile. Withdrawing a live protection is for the owner alone, and the client stays with the sales team in every case.

Frequently asked questions
- Does the broker need an account or a password?
- No, the broker needs no account or password, because the link private to their office is the only credential. The system stores a fingerprint of the token and not the token itself, the link is shown to you once when you add the office or issue a new link, and suspending the office stops its link at once.
- What is the office told when a client registration is refused?
- It is always told "client already registered", whether the person exists in your system or is protected to another office, so it learns neither which, nor who the other office is, nor what you know about the person. You see the real reason on the Registrations tab.
- Can I review a registration before the client is protected?
- Yes, in the portal settings you turn on that registration needs your approval before protection, and the registration stays awaiting approval with protection starting only from the moment you approve. The client reaches your sales team immediately either way. Turning the option off does not approve waiting registrations automatically.
- How is commission calculated?
- Commission is the sale price you enter multiplied by the office's rate at the time, to the halala. The current rate is copied onto the commission, so a later change to the office's rate does not alter it. It shows as due to the office until the owner confirms the amount was transferred.
- What does a broker see of my units?
- Only available units in your non-archived projects: unit number, model, area, bedrooms and price, or "price on request". It never sees a reserved or sold unit, or unit notes. The list appears if inventory is switched on, capped at 2,000 units.
- Does EvaCore pay the commission?
- No, the portal records that a commission is due or paid and moves no money. When you transfer the amount to the office yourself, the owner presses Paid and the commission shows as paid to the office with the date, and the owner can undo that. The system does not delete a paid commission.
