Launch-day events: QR registration and a unit waitlist

Launch-day events is an Enterprise module that registers visitors to a sales-centre opening or exhibition stand through a QR code and fixed visit slots, and turns each visitor into a lead. Capacity runs from 1 to 5,000 people per slot. It is a monthly add-on you choose at contracting, and every WhatsApp notice stays your staff's decision.

What is it?

You create an event with its dates, venue, slot length and capacity, and get a mobile registration page with your office logo plus an A4 poster with a QR code, ready to print. Visitors book a slot and receive a 6-digit entry code, and each registrant lands in your system as a lead. At the door your team opens the check-in screen. If the event is tied to a project, visitors who missed a slot can join a waitlist.

  • A developer opening a sales centre who wants visitors to arrive by appointment instead of crowding the door.
  • An office joining a multi-day property exhibition that needs one registration page and one poster for every day.
  • A sales team that wants to know who actually came and who registered but did not, without paper sign-in sheets.
  • A project whose units sell out on release day and wants a list of interested people to notify when a new batch opens.

  • Paper sign-in at the door is slow, and its data arrives late or never reaches the sales team.
  • Without slots, visitors pile up in one hour and the interest is wasted.
  • People who register by phone or message are duplicated and scattered across staff, and nobody knows how many are due in the next slot.
  • Visitors who missed the release have no organised way to be told when new units open.

How it works, step by step

  1. Open Launch day from the menu and press New event (owner or team lead).
  2. Enter the event name and venue, pick a project if you want a waitlist, and set the days, opening and closing times in Riyadh time, slot length and capacity per slot. It saves as a draft visitors cannot see.
  3. Print the A4 poster or download the QR code and use it in ads and signage.
  4. Press Open registration to publish the event page and activate the QR.
  5. The visitor picks a slot, enters a name, a Saudi mobile number and the party size, and agrees to be contacted. A page then shows the entry code, a QR and an Add to calendar button.
  6. The registrant arrives in your system as a lead with the source Launch day, merged into the existing lead if the number is already on file, and routed by your distribution rules.
  7. On the day any staff member opens the door check-in screen, searches by name, phone or code, presses Check in, and adds visitors without a booking as walk-ins.
  8. Afterwards review registrations, attendance and slot fill, export the list as CSV, and notify the waitlist when units are released.

What is included

Limits and fair use

  • Only Saudi mobile numbers starting with 05 are accepted, a party is 1 to 10 people, and the same number cannot register twice for one event.
  • The maximum capacity is 5,000 people per slot, and an event runs at most 31 days and 600 slots.
  • Days, hours and slot length are locked after the first booking and cannot be changed.
  • Creating events, exporting and notifying the waitlist belong to the owner or a team lead; checking people in is open to any team member.
  • The waitlist needs an event tied to a project and Projects & brochures switched on; otherwise a project-linked event page is hidden from visitors.
  • Notices are never automatic: your staff writes them, and they reach only people who agreed, confirmed their number by messaging from it and have not opted out. They carry no customer name. Everyone else can be exported as CSV for manual follow-up.
  • The module takes no payments and sells no tickets; your staff follows up each registrant and leads the sales conversation.

Frequently asked questions

How does a visitor get the entry code?
The visitor receives a 6-digit entry code the moment the booking is made, on a confirmation page with a QR and an Add to calendar button. If they lose the page, the door team finds the booking by phone number or name.
What happens when a slot is full?
The system refuses the booking and asks the visitor to pick another slot. Capacity counts people, not registrations, so a party of five uses five places.
Does every registrant become a lead?
Yes. A lead is created with the source Launch day, or the booking is added to the lead that already holds the same number. If one device passes its daily limit for new leads, the booking still stands and the lead is created when the visitor is checked in.
How do I notify the waitlist when new units open?
Write the message in the waitlist panel and press Notify the waitlist. It goes to WhatsApp for review and then reaches people who agreed and confirmed their number. The opt-out line is added automatically, and you can choose to send as soon as WhatsApp approves.
Does it work for a multi-day event?
Yes, up to 31 days with one page and one poster. Slots repeat daily between the opening and closing times you set, and the closing time must differ from the opening time.
Who can export the registrant list?
Only the owner and team leads, because the list holds visitors' names and numbers. Everyone else finds a visitor at the door by searching the check-in screen, without seeing the whole list.
