Ad-lead welcome: the first WhatsApp message to form leads
Ad-lead welcome is an approved template message that EvaCore sends from your office WhatsApp number to someone who registered through an ad or website form, as soon as the request arrives, unless they opted out; Snapchat and website forms also need consent. Each lead gets one welcome. Included in both plans; Meta bills template fees to your own account.

A form lead has never messaged your office, so there is no 24-hour window and WhatsApp only accepts an approved template from you. EvaCore therefore sends the approved welcome template with the customer's name and your office name; when the customer replies, Eva or your agent takes the conversation from there.

What problem does it solve?
- An ad lead registers and moves on, and the longer the first reply takes the easier it is to forget the form they filled in.
- You cannot message them with free text because they did not write to you first.

How it works, step by step
- Connect your office number through Zernio; the platform submits the default welcome templates to WhatsApp for approval when you connect.
- Connect your lead source: a Meta or Snapchat lead-form ad, or copy your website form and brochure pages from the «Integrations» page.
- The customer's request arrives and creates a lead with status «جديد», routed to your team by your distribution rules if you have any.
- The form answers appear as a card at the top of the lead's WhatsApp thread, so the agent sees them before typing.
- The platform checks the rules: a valid number, no opt-out, no earlier welcome, and recorded consent if the source is Snapchat or a website form.
- It sends the welcome template with the customer's name and your office name; if the lead is assigned to an agent, a second template carries the agent's name and WhatsApp number.
- If the template is not approved yet the lead waits, and when WhatsApp approves it, leads from Meta forms, Snapchat forms and agent registration from the last 7 days are welcomed; a website-form lead is not welcomed late.
- When the customer replies, Eva or your agent answers, and your team follows the lead up from «Leads».

Limits and fair use
- No welcome goes to someone who opted out, has no number, or was welcomed before.
- A Snapchat form that does not ask for WhatsApp consent lets the lead in without an automatic welcome; a website form without consent gets no welcome.
- Website forms have an hourly ceiling on welcomes (20 per office per hour by default); the lead is still created and your team contacts them directly.
- A name typed into a public form is never inserted in the message and is replaced with «عميلنا العزيز».
- The late send after approval covers only Meta-form, Snapchat-form and agent-registered leads from the last 7 days, at most 200 in one pass.
- If a send fails or its outcome is unknown it is not retried automatically, to avoid a duplicate welcome.
- The welcome is only the opening; qualifying, viewing and closing stay with your team.

- Why does an ad-lead welcome need a template?
- Because a form lead has never written to your office, so there is no 24-hour window, and WhatsApp only accepts an approved template from you. The platform submits the default welcome template when you connect the number, without being asked.
- Is every form lead welcomed?
- No, only those who gave a valid number, have not opted out and were not welcomed before. Consent is checked for Snapchat forms (they must ask for WhatsApp consent) and website forms (they must send consent explicitly); Meta forms and agent registration carry no consent field, so make sure your form's wording covers WhatsApp contact.
- What if the lead registers before WhatsApp approves the template?
- They stay in the system as a lead without a welcome. When WhatsApp approves the template the platform welcomes those who registered in the last 7 days through Meta forms, Snapchat forms or agent registration, oldest first, up to 200. A website-form lead is not welcomed late.
- Does the agent see what the customer wrote in the form?
- Yes. The answers appear as a card at the top of the customer's WhatsApp thread, before any message. The original submission is also kept on the lead's record in case a field was misread.
- Can a customer receive two welcomes?
- No, because the platform stamps the lead's record before sending, so two attempts cannot both go out. If a send fails or its outcome is unknown, it is not retried automatically so the welcome is never duplicated.
- What if the lead is assigned to an agent?
- They receive a different template that names the agent and gives their WhatsApp number, provided the agent has a WhatsApp number on file. Without one no welcome is sent and your team contacts the lead directly.
