Leads, pipeline and recycling
Leads and pipeline is your office's record of every prospect, shown as a table or a stage board, with a claim queue for unassigned leads, scheduled follow-ups and manual recycling of dormant ones. The cap is 500 leads on Solo and 2,500 on Agency, and add-on lead packs are chosen at sign-up and activated by our team.

It is the Leads page of your dashboard. A lead arrives from WhatsApp, Instagram, TikTok, ads, the call centre or a manual entry, and Eva qualifies them in the chat and records the request and budget. You switch between a Table view and a Sales pipeline view, and open the lead file to see the summary, comments and next step. In an office with teams the page becomes a team board with a priority list instead of the pipeline.

How it works, step by step
- Let leads arrive from WhatsApp, Instagram, TikTok and ads, or add one with the Add lead button, or upload a CSV from the Import button if you are the owner or a team leader.
- Open Leads. In an office without teams you see cards for total, New, Contacted, Qualified and Unassigned, and switch between Table and Sales pipeline. In an office with teams you see a priority board: follow-up due, follow-up today and waiting for assignment.
- In an office without teams, press Claim on a lead in the unassigned queue to become responsible for it; if a colleague got there first, their name replaces the button at once. In an office with teams the owner or team leader assigns the lead.
- Open the lead file: read the summary, check the request and budget, and write an internal comment about what happened on the call. Comments are never sent to the customer.
- Set the lead's status and follow-up time in Riyadh time, or pick After one hour; the time shows in your work list and nothing is sent to the customer. For an alert in the app and on WhatsApp, when your number is on file, use the reminder button on the team board.
- In an office without teams, drag the lead's card between New, Contacted, Qualified and Closed on the pipeline. The change saves instantly and snaps back if saving fails.
- Review Suitable listings for the recorded need in the lead file and open the property; if the need is incomplete, fill in the details first.
- Once teams are set up for your office, open Lead recycling (owner or team leader) and choose the no-contact period (30, 60, 90 or 180 days) and filter by region, project, status, source or budget, then select leads.
- Assign the batch to an employee, send one approved template to those selected, or press Mark only, and follow the tiles above: recycled, replied, booked a viewing, closed a deal.
What is included

- A hot, warm or cold rating that Eva records from the chat; manually added or imported leads get an approximate rating from status and age.

Limits and fair use
- The cap is 500 leads on Solo and 2,500 on Agency. At the cap, adding a lead by hand stops with a message asking you to upgrade. Extra lead packs are chosen at sign-up and activated by our team.
- The pipeline shows four fixed stages: New, Contacted, Qualified, Closed.
- Recycling works once teams are set up for the office (there is no screen to create them yourself today, so ask us), is for the owner or a team leader only, and is fully manual: nothing is sent until you press the button.
- One recycling campaign is limited to 200 leads, sends only an approved WhatsApp template, and skips people who asked to stop contact and numbers that never wrote to the office on WhatsApp.
- When teams exist an employee sees their own leads, a team leader their team's, and the owner everyone's. Without teams the lead list is shared unless the owner hides the company number.
- Rating and summary help you; assignment, follow-up and closing a lead stay with your staff.

- EvaCore does not charge for recycling-campaign templates; any per-message fees WhatsApp applies fall on your office's own WhatsApp account.
Frequently asked questions
- How is a lead rated hot, warm or cold?
- The rating comes first from what Eva recorded about the customer in their chat. For leads with no rating, such as manual entries, it is estimated: closed is cold, qualified, or a lead with a budget updated within a day, is hot, and one updated within five days is warm, and the rest are cold.
- In an office without teams, what happens if two employees press Claim at the same moment?
- Only one wins. The assignment runs on the condition that the lead still has no owner, so the first gets it, and the second sees the name of whoever got there first in place of the button, with no page reload.
- Does recycling happen automatically?
- No, it is a manual tool. You pick the filters and the leads, then decide yourself: assign to an employee, send an approved-template campaign, or mark only. Every action is logged on the lead's history and never wipes it.
- What happens when I hit the lead cap?
- Adding a new lead by hand stops with a message stating the maximum and asking you to upgrade. Extra lead packs are chosen at sign-up and activated by our team, listed with their price on the family page.
- Can an employee see their colleagues' leads?
- Not in an office that uses teams: an employee sees their own leads, a team leader their team's, and the owner everyone's. In an office without teams everyone works from one shared list, unless the owner hides the company number from employees.
- Who sends recycling messages and who pays the fees?
- They go from your office's WhatsApp number after you press the campaign button on the selected leads, and only an approved template is sent. EvaCore does not charge for the template; any per-message fees WhatsApp applies fall on your office's own WhatsApp account.
