The office suite: staff, commissions and expenses in one place

The office suite is a set of five modules inside EvaCore that organise the administrative side of your real estate office: employee files, leave and coverage, commissions, expenses and a procedures playbook. It is priced per employee with a monthly minimum and switches on all five modules for every seat. It is an add-on you choose at sign-up.

A real estate office usually juggles three kinds of work: customers and deals, a team that keeps changing, and money moving between the owner and staff. The agent handles the first. The second and third usually land on the owner, in scattered notebooks and messages. The office suite puts the second and third in one place that the right person can see, with every decision recorded.

The five modules connect to the rest of EvaCore. Approving leave blocks new bookings and automatic assignment for the absent employee and suggests cover for the viewings and follow-ups that fall due. A deal commission is tied to a customer record in the leads workspace, and who sees what follows the roles your office already has. The owner sees what waits for a decision, whether leave, commissions or expenses, in the Today view.

The suite is aimed at the owner, the finance manager and the office manager, and each employee uses it within their own scope: they request leave, submit an expense, read their commission statement and read the office procedures. It is an add-on you choose at sign-up, added to your plan and counted by the number of employees you set.

What the suite does not do deserves plain words: it does not run payroll, log attendance, move money or connect a bank account. What it does is keep everything about your staff recorded with its state, its owner and its date, so the decision stays yours.

In the Office suite

Leave and coverage in the office suite is a system where an employee requests leave under a category the owner defines, the owner approves it and names a backup employee, and the system lists the affected work during the leave: viewings, tasks and follow-ups. Approving leave blocks new bookings and automatic assignment for the absent employee, but it does not move current work by itself; the owner decides for each item between proposing a customer handover and reassigning a viewing to the backup. An accepted handover is permanent and does not return after the leave. The Team availability calendar shows approved leave only, without categories or reasons. A leave request cannot start in the past or run longer than 365 days. It is an add-on you choose at sign-up.

Does approving leave move the employee's customers to the backup automatically?
No, approval does not move current work automatically. The system lists the affected viewings, tasks and follow-ups, and you decide per item between proposing a customer handover to the backup and reassigning the viewing to them at the same time. No notification goes to the customer, so you coordinate with them yourself.

The office playbook is a library where the owner writes working guidance, checklists and reusable text templates in Arabic, English or both, then publishes them for staff to read. Staff keep reading the last published version until the new draft is published, and the owner keeps the published versions and an activity log. You can start from four ready checklists: lead intake, viewing preparation, customer handover and new joiner setup, which are added as editable drafts and never published automatically. Approving content for reuse with customers is a human decision only, and the content is never added to the AI's knowledge. Chosen on its own, it is priced per office rather than per employee.

Can staff read my draft before I publish it?
No, staff read only the last published version, and your draft stays owner-only until you publish it. If you archive an entry it disappears for staff, and you can publish it again later.

Limits and fair use

  • The suite is internal office administration, not payroll or attendance, and it moves no money; recording a payment documents an action taken outside the system.
  • It is counted by the number of employees you set at sign-up, from one to 500, and it reaches anyone with a seat in your office.
  • Amounts are typed by hand as decimals in five currencies (SAR, USD, EUR, KWD and JPY), with no percentages and no conversion between them.
  • Documents and receipts are PDF, JPEG or PNG, up to 5 MB per file.
  • An employee sees only what concerns them, and approval decisions belong to the owner or the finance role, depending on the module.
  • Everything in the suite is a recorded human decision; Eva and the AI decide nothing for you, and the playbook never enters their knowledge.

Anyone with a seat in your office, each according to their role: the owner manages and approves, the finance role reviews commissions and expenses, and an employee sees only what concerns them.
Do employee documents and procedures feed Eva's knowledge?
No, employee documents and the playbook are never added to the AI's knowledge, and your staff read the playbook themselves.
