Employee commissions: record, split and approve each deal

Employee commissions in the office suite is a record that ties each deal's commission to a customer record, splits it among employees and moves every share through approval and payment logging. Allocations can never exceed the deal total. The system documents payment and never moves money. It is an add-on you choose at sign-up.

What is it?

You enter the deal's total commission in the currency you choose, then allocate an amount to each employee who earned a share. Every allocation moves through clear states: Expected, Approved, Payment recorded, and it can be reversed or cancelled with a written reason. There is no percentage calculation; you type the amounts yourself.

  • An office owner splitting a deal's commission between several agents, such as the one who brought the customer and the one who closed it.

What problem does it solve?

  • Commission splits are agreed in messages and separate notebooks, so the two sides later disagree about what was said.
  • The office cannot tell what was actually approved, what was paid and what is still expected.

How it works, step by step

  1. Switch on the office suite at sign-up and open Employee commissions from your dashboard.
  2. Choose Add deal commission, pick the customer record from the leads workspace, and enter the commission title, currency and total.
  3. Split the total by adding an allocation per recipient: choose the employee and type their amount. The system rejects allocations whose sum would exceed the total.
  4. Each share starts as Expected, and you can edit its amount while it stays in that state.
  5. Approve the share with Approve allocation; the deal total and its details are locked from the first approval.
  6. After you transfer the money outside the system, record the Payment with its reference and the date in Riyadh time.
  7. If needed, record a payment reversal or cancel the allocation with a written reason; cancelling frees the amount to be split again.
  8. Download a CSV statement for the office or for one employee, and open the Allocation history to trace every decision.
  9. The employee opens My commission statement and sees only their own shares and their status.

What is included

  • A commission per deal linked to a customer record, in one of five currencies: SAR, USD, EUR, KWD and JPY.
  • Employee allocations whose sum cannot exceed the deal total.
  • States: Expected, Approved, Payment recorded, Reversed and Cancelled.
  • Payment documented with a reference and a date in Riyadh time.
  • A history of every action and a CSV statement for the office or for one employee.
  • Pending commissions appearing in the owner's Today view.

Limits and fair use

  • There are no percentages and no currency conversion; you type the amounts yourself as decimals.
  • Recording or reversing a payment documents an action taken outside the system and moves no money.
  • Employee allocations are separate from partner broker commissions.
  • The recipient is fixed on an allocation; to change it, cancel the allocation and create a new one.
  • Approval belongs to the owner or to someone with the finance role, and only the owner can approve their own share.
  • An employee sees only their own statement, and the full-office CSV is limited to the owner and finance.

Frequently asked questions

Does the system calculate the commission rate automatically?
No, it calculates no percentages. You type the total commission and each employee's amount, and the system only checks that the sum does not exceed the total.
Does the system transfer the commission to the employee's account?
No, it moves no money. You transfer the amount your usual way, then record the payment with its reference and date so the trail stays documented.
Can I change an amount after approval?
No, the deal's details and total are locked at the first approval, and a share's amount stays editable only while it is Expected. After approval you use a reversal or a cancellation with a stated reason.
Who can see other employees' commissions?
Each employee sees only their own shares in My commission statement. The owner and anyone with the finance role see the full office review.
Which currencies are available?
The system offers five: SAR, USD, EUR, KWD and JPY. Currencies are never added together or converted, and each deal stays in its own currency.
Can I export the statement?
Yes, you can download a CSV statement for the office or for one employee. It lists the name, title, amount, status, approval and payment dates, the reference and any reversal or cancellation reason.
