HR: employee files, documents and onboarding checklists
HR in the office suite is a file per employee that holds the job title, direct manager, documents and onboarding and offboarding checklists with renewal dates. Each employee sees only their own file and what you share. Uploads are PDF, JPEG or PNG up to 5 MB. It is an add-on you choose at sign-up.

The page is called People for the owner and My employee profile for each staff member. A profile shell is created for every member of your office, and you complete it with details, documents and checklists. It is an organised record for your office, not a payroll or attendance system.

- An owner who wants to see when an employee's document comes up for renewal before the date arrives.

What problem does it solve?
- Employee documents sit in several places, so the owner is never sure which copy is current.
- Renewal dates live in someone's memory or on a sheet of paper and get forgotten until they pass.
- A new hire starts without one standard list, so onboarding differs from person to person.
- On departure, access stays open or is closed with no record of who did what.
How it works, step by step
- Switch on the office suite at sign-up, then open People from your dashboard.
- Review the profiles created automatically for every member of your office, so you never type the names in by hand.
- Add each employee's job title, start date and direct manager, and write confidential notes that the employee cannot see.
- Add document details: its title and renewal or expiry date, and choose whether it is shared with the employee. Every document starts as owner-only.
- Upload the document as a PDF, JPEG or PNG, and replace it with a new copy when it is renewed.
- Create Onboarding or Offboarding checklist items with due dates, and show the employee the ones that concern them so they can complete the onboarding items themselves.
- Follow what is done and what is late from each employee's file, and reopen any item when needed.
- When someone leaves, finish the offboarding checklist, then choose Revoke membership now and confirm; their sessions and permissions are withdrawn and their customers return to the office, with the customer records kept.
- Open the Administrative history to see who edited a file, uploaded a document or completed an item, and when.

- A My employee profile page where each employee sees their details, shared documents and assigned items.
Limits and fair use
- Documents are PDF, JPEG or PNG only, up to 5 MB per file, with 30 files and 100 MB per employee.
- Renewal dates are recorded and used to order documents, but the system sends no automatic alert as they approach; following up stays with the owner.
- An employee completes only the Onboarding items assigned to them; Offboarding items belong to the owner.
- Finishing the offboarding checklist does not remove the member; removal happens only through Revoke membership now, and it may require disconnecting the employee's WhatsApp number first.
- The suite does not run payroll or attendance and does not send contracts for signature.
- It is an add-on you choose at sign-up, counted per employee, and it reaches anyone with a seat in your office.

Frequently asked questions
- Does an employee see everything I write in their file?
- No, an employee sees only their own profile, and your confidential notes never appear to them. A document is visible only if you turn on Share with employee, and checklist items appear only if you show them.
- Which file types can I upload?
- The system accepts PDF, JPEG and PNG only. The limit is 5 MB per file, with 30 uploaded files and 100 MB per employee.
- Will the system warn me before a document expires?
- No, it does not send an automatic expiry alert. It records the expiry date and orders documents by it, so the nearest dates appear first when you review the list.
- What happens to an employee's customers when their membership is revoked?
- Their customers return to the office and the customer records are kept, while the employee's sessions and permissions are withdrawn. If they have a connected WhatsApp number, the system may ask you to disconnect it first.
- Can an employee change their own job title or manager?
- No, editing profile details belongs to the owner alone. The employee can read their file and complete the onboarding items assigned to them.
- Is this a payroll system?
- No, it is a record of files, documents and checklists. It does not calculate salaries or log attendance; anything about pay stays outside the system.
