Roles and permissions: each person sees only theirs
Roles and permissions decide who opens which screen and sees which lead in your office: owner, sales employee, team leader, call centre and finance. You invite members by email from the Team page. Seats are one on Solo and five on Agency including the owner, and an extra seat is bought separately. The call centre uses no sales seat.

It is the Team page in Settings. It lists members and pending invitations, each person's access type, and the office policies: hide the company number from employees, hide Instagram, and require 2-step sign-in for everyone. Permission comes from the role itself: the owner runs billing, integrations, WhatsApp connection and members, while an employee works on their own leads.
Who is it for?
- An office owner hiring new brokers who should not see colleagues' leads or the billing settings.
- An office with a collections or accounts person who needs payments and deposits without the chats and the lead list.
- A call centre that follows leads manually and should not cost the office a sales seat.
- An owner who needs to cut a departed employee's access at once and send their leads back to the queue.
What problem does it solve?
- One shared login means nobody knows who did what, and access cannot be withdrawn from one person.
- An employee who sees every lead can walk out with the office's list.
- A colleague working on accounts does not need customer chats, and seeing them is a needless risk.
- When someone leaves, their personal number keeps receiving customers unless access and the number are stopped together.
How it works, step by step
- Open Settings, then Team, and review the member count, plan seats and pending invitations at the top.
- Under Invite a new member choose the access type: sales employee (uses a seat), call centre (no sales seat) or finance (counts as a seat, or a limited seat if you bought one), and enter their email.
- Press Send invitation. The member gets an email with a join link, the link also appears for you to copy and send on WhatsApp, and you can cancel an invitation or see that it expired.
- After they join, the employee can connect their own number from the WhatsApp page if you want; their number's customers are assigned to them and Eva replies from it, and the roster shows whether they reply through the office number or have not connected one yet.
- Once you create teams the options Move to a team and Make team leader appear, so the leader sees their team's leads while an employee sees only their own.
- Set the office policies on the same page: Hide the company number from employees, Hide Instagram from everyone, and require 2-step sign-in for everyone.
- Open Member performance to see each member's numbers within your own permission.
- To convert an employee to finance choose Convert to finance and read the warning: they see payments and deposits without the chats, and their leads return to the distribution list. You can return them to sales whenever you like.
- When an employee leaves choose Remove from the agency and confirm: their sign-in ends at once, their leads return to the distribution list, their viewings stay on the office calendar without an agent, and their personal number stops receiving.
What is included
- Owner: sees everything and runs billing, integrations, WhatsApp connection and members, and is the only one who runs the Aqar import.
- Sales employee: works on their own leads and chats, and sees their own number and the office number unless it is hidden.
- Team leader: an ordinary member who leads a team, sees their team's leads and can move leads between them.
- Call centre: a limited follow-up list, call outcomes and notes, and returning a lead to sales, with no sales seat.
- Finance: bookings and deposits, buyers' payment schedules and receipts, handover dates and the developer dashboard numbers, with no access to chats.
- Email invitations with a copyable, cancellable join link, and a clear role for each member on the roster.
- Office policies: hide the company number, hide Instagram, and require 2-step sign-in.
- Removing a member by ending their sign-in at once and returning their leads to the distribution list.
Limits and fair use
- Seats: one on Solo and five on Agency including the owner. At the limit, inviting a sales or finance member is blocked with an upgrade message (unless a limited seat you bought is free for finance), and an extra seat is sold separately at SAR 550 / seat / month.
- The call centre is manual access and does not include AI, paid messages or automatic dialing.
- Finance sees no chats, no lead list and no settings, and converting an employee to finance deletes their public profile and the Claude and voice keys they created; they return to sales with a fresh, empty profile.
- Team leadership is a property of the team itself, not a separate role; its options appear once teams exist, and each team has one leader.
- Permissions are set by role, not by tick-lists for each capability, so pick the role closest to the person's job.
- Removing a member cannot be undone, and you cannot remove the owner or yourself. Disconnect the employee's WhatsApp number before removal if they have a personal one.

- A sales employee uses a seat from your plan, while the call centre is manual access that uses no sales seat. The call centre sees a limited follow-up list, records call outcomes and notes and returns the lead to sales, without AI or paid messages.
- Can an employee see their colleagues' leads?
- Not in an office that uses teams: an employee sees their own leads, a team leader their team's, and the owner everyone's. In an office without teams they work from one shared list. A lead an employee brings stays theirs, and only their team leader or the owner moves it.
- What happens to the leads of an employee I remove?
- Their sign-in ends at once, their leads return to the distribution list with their history intact, their viewings stay on the office calendar without an agent, and their personal number stops receiving. Removal cannot be undone.
- How do I hide the company number from employees?
- On the Team page turn on Hide the company number from employees. Each employee then sees only their own number, while the company number stays visible to the owner. You can reverse the policy with the same switch.
- What is Finance and who needs it?
- It is access for whoever handles bookings, deposits, buyers' payment schedules, receipts and handover dates. They see no chats, no lead list and no settings, and they count as a seat from your plan (or a limited seat if you bought one).
- Does a member's invitation expire if they are slow to accept?
- Yes. An expired invitation shows on the roster with an Invitation expired mark. You can cancel it and send a new one, and copy the link to send on WhatsApp if the email did not arrive.
