WhatsApp bot for real estate or an AI assistant? The difference and when you need each

A rule-based WhatsApp bot for real estate is cheap, predictable and enough for a few repeated questions. An AI assistant reads free-form messages, qualifies the customer, suggests listings from your inventory and books viewings. Choose by how varied your enquiries are, and connect through the official WhatsApp Business route to lower the risk of losing the number.

The difference in one line

A rule-based bot follows a fixed tree: if the customer types a keyword or taps a button, it sends a prepared reply. An AI assistant reads the sentence as written, pulls out the need, and answers from the office's data. Both can serve as a WhatsApp auto-reply for a property office, but they solve different problems.

When a simple bot is enough

To be fair: if your office gets a few repeated questions (opening hours, location, an agent's number) a rule-based bot is a reasonable choice. It is cheaper, it never says anything you did not write, and it is easy to test. It struggles when a customer writes something like "I want a flat near work and my budget is flexible", because no rule has a matching keyword. We cover the same trade-off in the WhatsApp AI overview.

When you need an AI assistant

Eva runs this path on WhatsApp, and the AI sales assistant page explains each step and its limits.

  • Enquiries arrive in varied or incomplete wording (voice messages are available on request).
  • You want the need saved on the customer record, not left in a loose message.
  • You want matching listings and a booked viewing without waiting for an agent.
  • You need an organised handoff to a person with a summary.
  • You have recorded inventory with current prices and availability.

Official WhatsApp Business route vs unofficial QR tools

Connection tools fall into two kinds. One uses the official WhatsApp Business platform, with approved templates and a number-health status. The other links WhatsApp Web by scanning a QR code, as if it were an extra device. The second is easier to start, but it sits outside the route WhatsApp Business provides.

WhatsApp's business policy at whatsappbusiness.com/policy says automation is allowed in the 24-hour window if there is a clear path to a human, that its systems may limit how many messages a business sends, and that after violations it may prohibit an organisation from future use of its products. It does not name QR tools, so we put it carefully: a tool that messages at scale or in ways the policy does not allow risks restrictions on the number, and losing the office number means losing customer conversations. Read the current policy text yourself before choosing.

Costs to count

Plan prices are on the pricing page; we do not repeat numbers here. For a fuller cost framework see how to evaluate WhatsApp AI costs.

  • The platform or bot subscription, by plan and number of users.
  • Template message fees: these follow WhatsApp's pricing policy, so ask how they are charged before you start rather than assuming a subscription covers them.
  • Staff time reviewing and correcting replies, especially in the first weeks.
  • Keeping property data current, because any assistant answers from what is recorded.
  • The plan's AI conversation limit. Leads are never capped in EvaCore.

Setup checklist before any bot or assistant

Further reading: handoff guide.

  1. List the ten questions your office actually received last week.
  2. Record inventory with current price and availability, and set your price-display policy.
  3. Connect a number the office owns through the official route, and check number health and quality.
  4. Prepare the templates you will use to open conversations outside the window, and wait for approval.
  5. Decide when a reply goes to a person and who owns it, using the handoff guide.
  6. Test with fifty real messages and log errors before opening the channel to everyone.

What this page does not promise

  • It does not compare named bot products, only types of solution.
  • It does not promise that an assistant raises sales; that depends on your data and team.
  • It is not legal advice on WhatsApp policy; the official text is the reference.

Before you begin

  • It does not rate named competing products.
  • It makes no sales-result promise.
  • WhatsApp's official policy text is the reference and may change.

Frequently asked questions

What is the difference between a WhatsApp real estate bot and an auto-reply?

An auto-reply is a fixed message sent on an event such as a greeting or after hours. A bot follows more rules and buttons. An AI assistant reads free-form wording and answers from your data. For a few repeated questions, the first two are enough.

Can I use WhatsApp Web with a QR code for automated replies?

Technically yes, but it is outside the official WhatsApp Business route, and WhatsApp's policy lets it restrict numbers for violations. Read the current text at whatsappbusiness.com/policy before deciding.

Who pays for WhatsApp template messages?

Template messages follow WhatsApp's pricing policy. Ask how they are charged before you switch on, and do not assume any subscription includes them.

Do I need an AI assistant if I have few customers?

Not necessarily. If your questions are few and repeated, fixed rules are enough. Move to an assistant when wording varies and new enquiries wait too long.

Put the workflow to work

Review your property records and team permissions, then choose your plan and connect your channel. Examples in these guides are illustrative, not real bookings or customer results.
