A property viewing workflow on WhatsApp connects a buyer’s request with an appointment the office can act on. EvaCore supports viewing bookings within its workflow. A proposed time is a request until the booking succeeds; the reply should state the property and appointment details clearly without implying that attendance is guaranteed.

Separate interest, a request and a confirmed booking

“I would like to see it” expresses interest. “Thursday afternoon would suit me” proposes a broad period. Neither statement, by itself, establishes an appointment. The process must identify the property, resolve the intended date and time, and check whether a booking can be made.

Keeping these states distinct helps both the buyer and the office. The buyer knows whether to wait for another message. The agent can distinguish an appointment that needs attention from a general expression of interest. An assistant should describe the result of the booking action, rather than assuming that a polite exchange completed it.

EvaCore’s workflow uses its internal calendar. A viewing can be saved successfully even if sending its confirmation fails. State the saved appointment and message-send result separately. A successful send does not prove delivery or reading; inspect the existing appointment before retrying an action.

The minimum appointment checklist

  • Property reference: everyone should know which property the discussion concerns, especially when more than one has been mentioned.
  • Specific date: clarify relative phrases such as “next Thursday” when they could have more than one meaning.
  • Specific time: “after work” or “in the afternoon” needs clarification before it becomes an appointment.
  • Time zone: use an explicit local reference when the buyer is arranging the visit from another country.
  • Booking result: the confirmation should follow a successful action, with failure or uncertainty made clear.
  • Responsible person: the office should know which employee handles questions about the visit.

Worked example: from a broad request to a clear result

This is an invented training scenario, not a real appointment. After discussing one property, a buyer writes: “Could I visit Thursday afternoon?” The next useful step is to resolve the date and use available times from the booking workflow. Do not invent an open slot simply to make the conversation move forward.

If the buyer selects a time and the booking succeeds, the confirmation can identify the property, date and time. If the action returns an error or an uncertain result, the message should say that confirmation is still needed. It must not send a confident “Booked” message merely because the buyer agreed.

The office can test both paths in a demonstration. The successful path proves only that the example action worked; the uncertain path reveals whether the customer receives an honest and useful explanation.

Handle changes without creating a second problem

Give the receiving agent enough context

The agent needs the property reference, the confirmed appointment details and any relevant question the buyer asked. Keep a separate note for information still to be verified. If access instructions are missing, the assistant should request clarification rather than fabricate a meeting point.

The office should also decide who responds when a buyer changes plans. A booking tool cannot replace that ownership. Review how the team sees pending requests, receives the appointment information and checks the result before telling the buyer that a change is complete.

Test the workflow before relying on it

  1. Try an ordinary request with a clearly identified property.
  2. Try a vague day or time and check how clarification works.
  3. Try a time that cannot be booked.
  4. Try a change request for an existing appointment.
  5. Compare the final message with the actual appointment state.
