Residents and vendors: a WhatsApp report for tenants, a job link for technicians
Residents and vendors in Property Care is free access that lets a resident report a fault on WhatsApp and a technician open a link to one job, with no account. There is no cap on residents or vendors, but a technician sees only his job; your team triages and dispatches and the owner approves spending. Included in every plan.

This is the meeting point of the three parties in a maintenance job: the resident who writes to your office's WhatsApp number, the technician who receives the job as a link, and your team who sees everything in the Property Care dashboard. A resident needs no app and no password; he is recognised by the mobile number your office registered for him. A technician needs no account; he gets one link for one job. Whatever either party says is saved on the request before Eva confirms anything back.
Who is it for?
- An office that manages buildings or compounds and receives maintenance reports through scattered calls and messages that are never logged in one place.
- A property manager who works with outside technicians (plumbing, electrical, A/C) and does not want to create accounts for them or show them the rest of the pipeline.
- An owner who wants a record that a night-time report was paged to an on-call person and acknowledged, and that a request closes on the resident's word, or after 72 hours marked unconfirmed.
- An office with both in-house and outside technicians that needs one simple link that works on any phone, even if the technician uses no app.
What problem does it solve?
- A report gets lost between calls and messages, and the manager cannot tell who reported, when, or what the resident actually said.
- A resident asks "where is my request?" and nobody can answer because the status lives in one employee's memory.
- A technician gets the unit number and the problem in a long message, and nobody knows whether he accepted or when he will come.
- A full account would expose requests and residents that have nothing to do with the technician; a single link keeps him on his own job.
- A technician says "done" while the resident says the fault remains; the system separates the technician's completion from the resident's confirmation.
How it works, step by step
- Add residents to the building and unit records under Properties, by hand or with a CSV import; every active resident has a mobile number, and a number that is not on file is not treated as a resident by Eva.
- Add technicians under Vendors with their trades and areas, and mark who is in-house and who is outside.
- A resident writes to your office's WhatsApp number; Eva recognises the number and saves the request with its category (plumbing, electrical, A/C…), priority, description and photos.
- Emergency rules run on the resident's words before any AI: leaks, power, gas, fire, lift and lockouts are saved as emergencies and the on-call person is paged on WhatsApp at once.
- Your team triages the request on the Service desk and picks a technician; the system creates a dedicated link for him, sent on WhatsApp, or shows you a wa.me link to send yourself.
- The technician opens the link and sees the problem, photos, building location, access notes and the resident's first name only, then accepts or declines; the resident's phone appears only after acceptance.
- After accepting, the technician sets a visit time and starts work; every step is saved on the request, and the resident is told on WhatsApp about acceptance, appointment, start and completion in wording generated from the saved state only, between 09:00 and 21:00 Riyadh time; updates that fall at night wait until morning, emergencies excepted.
- When finished, the technician uploads after-work photos, a note and the final amount; the request becomes "Awaiting resident confirmation" and Eva asks the resident: done, or reopen.
- The resident confirms, optionally rating from 1 to 5, and the request closes, or he reopens it and the request keeps its whole history for your team to review.
What is included
- Resident reports on WhatsApp in Arabic, with attached photos, without installing any app.
- Eva recognises the resident from his registered number and gets a compact card: unit, access preferences, open requests and the last five repairs.
- A dedicated link per job, of which the system stores only a hash, and which works only on the host that issued it.
- A job page for the technician in Arabic and English: accept, decline, appointment, quote, start, finish with photos, and request a change order.
- A fixed Arabic receipt when the AI is unavailable, which still saves the request so nothing is lost.
- A resident confirmation request with one reminder, by default 24 hours after completion, and an automatic close after 72 hours marked "unconfirmed" if he never answers; the reminder and the close run between 09:00 and 21:00 Riyadh time.
Limits and fair use
- A resident is recognised only by a number your office registered; a person without an active occupancy is treated by Eva as an ordinary customer in the sales flow.
- A matching phone number never lets anyone open or enter a unit; for a lockout the system saves the request and pages on-call, and the job cannot be offered to a locksmith until one of your staff records who verified the resident's identity and how.
- For gas or fire Eva tells the resident to call civil defense on 998 or 911 first; this does not replace the authorities.
- A technician's link is valid for up to 30 days, stops working when an unanswered offer expires, closes after completion, decline or cancellation, does not work on any host but the one that issued it, and its attempts are rate-limited.
- An unanswered offer expires after the window you set in Settings (default 30 minutes), checked about every 15 minutes, then moves to the next suitable technician or back to your team with an in-app alert to the owner.
- Technician photos are JPEG, PNG or WebP up to 5 MB each and 10 per job, and the form asks for at least one completion photo.
- A technician does not see the pipeline, other jobs or other residents, and cannot finish with an amount above the approved one without a change order that your office approves.
- WhatsApp template fees are billed by Meta to your office's own WhatsApp account; EvaCore never charges them. If a template is not yet approved you get a wa.me link to send the offer yourself.
- Not integrated with Ejar, the tax authority's e-invoicing (ZATCA) or the real estate authority (REGA): contracts and e-invoices stay in their official systems.
- The AI helps receive and word the report, but dispatch, approvals and the repair-or-replace decision stay with your team.

Frequently asked questions
- Does a resident need an app or an account to report a fault?
- No, a resident writes to your office's WhatsApp number as he normally would. Eva recognises his number if he is on your resident register and saves the request with its description and photos. A number with no active occupancy does not enter the maintenance flow.
- Does a resident or technician pay anything for access?
- No, resident and vendor access is free and included in every Property Care plan, and it is not counted per person. Pricing depends only on the number of units you manage, and the plan prices are in the pricing table.
- What exactly does a technician see when he opens the link?
- He sees one job only: the problem, photos, building, unit number, access notes and the resident's first name. The resident's phone appears only after the technician accepts the job, and he can never see another request or another resident.
- What happens if the technician does not answer an offer?
- The offer expires after the window set in your Settings, 30 minutes by default, and expiry is checked about every 15 minutes. It then goes to another technician who fits the trade and area, and if there is none the owner gets an in-app alert so your team can act. Eva never promises the resident a technician before one has actually accepted.
- Can a technician finish a job for more than the agreed amount?
- No, the approved amount is a ceiling. If the final amount is higher, completion stays blocked until the technician requests a change order and your office approves it. With no quote, the ceiling is the auto-approve limit in your Settings.
- Can Eva open a unit for a resident who is locked out?
- No, a phone number does not prove identity. Eva saves the request, pages on-call and tells the resident that entry requires your staff to verify his identity, and no locksmith is offered the job until a staff member records who verified and how.
